Business Manager/Executive Assistant (GA-1001)

AN2 is seeking a Business Manager/Executive Assistant who can help the executive team get more things done, better, and with less stress. In addition, the Business Manager/Executive Assistant will also provide a wide range of administrative and project management support to the rest of our team.

Responsibilities:

  • Assist with multiple senior leader calendars - scheduling, organizing and managing complicated and sometimes hectic schedules with internal and external participants.
  • Understand business priorities and identify process improvements, improve allocation of time to promote productivity and anticipate the need to re-prioritize as appropriate.

  • Document meeting minutes, manage meeting communications and ensure action items are followed through when needed.

  • Compose and prepare correspondence, slide decks, presentations, meeting materials, etc.

  • Manage relationships and communication with employees, Board members, investors and vendors.

  • Organize the logistics and planning for corporate events, trainings, and meetings.

  • Research and plan travel and manage expenses.

  • Prepare expense reports and manage purchase requisitions.

  • Assist the CEO, CFO and other Senior Leadership with company-wide programming such as all hands meetings, quarterly and annual organizational planning, and projects that span the entire executive team.

Qualifications and Experience:

  • 6+ years of experience providing administrative assistant support to multiple senior leaders and project/program management

  • Biotech and/or pharmaceutical experience

  • Passionate for and excellence in written and verbal communication, demonstrating strategic, professional, creative and succinct communication

  • Have a sense of urgency and the ability to accurately set expectations, prioritize and execute multiple projects/tasks with hard deadlines

  • Be a motivated self-starter who works independently, effectively problem solves and prioritizes work, and anticipates the needs of the leaders

  • Have high maturity and ability to exercise good judgement, discretion & confidentiality in all tasks

  • Demonstrate the ability to remain positive, organized and focused in a fast-paced, high performance startup environment

  • Comfortable working efficiently and effectively in current WFH remote environment, as well as working in the Menlo Park CA offices as needed and requested.

  • Proficient with PowerPoint, Word, Excel, Visio Org Charts, Teams, SharePoint, and Outlook calendars

  • Willing and able to run errands as requested
